Additional subscription to the Automatic Entries Package (metadata extraction) – prior basic subscription to Intelligent Document Management for SMEs or the Bizdocs Digital Archive is mandatory
There are companies that want to have their accounting or other business information organized on a daily basis to support business decisions. Up-to-date information is a key factor in the management of companies, which have their management and accounting cycles defined at the beginning of each month. Automatic entries meet this need, enabling the capture of information from scanned documents or PDFs, thus enabling the automatic and immediate entry of these documents – similar to automatic entries from SAFT-Sales or e-Invoice.
In the Digital Archive Subscription:
- 1 automatic entry is considered per document (PDF), as this is a type of document that is fiscally relevant.
- The subscription to each package is valid for 1 year, after which the subscription expires and will be deactivated.
- It is considered that a document has an average of 1.5 pages. As such, a package of 50 documents will have a maximum of 75 pages. If the 75 pages are exceeded, even if there are fewer than 50 documents, a new package will have to be purchased. Attachments to tax-relevant documents will be counted as new documents and the respective number of additional pages.
- Article lines are not extracted. Line extraction may be contracted upon specific proposal.
In the Intelligent Document Management Subscription for SMEs:
- 1 automatic entry per document (PDF) is considered, as this is a type of tax-relevant document.
- The subscription for each package is valid for 1 year, after which the subscription expires and will be deactivated.
- It is considered that a document has an average of 1.5 pages. As such, a package of 50 documents will have a maximum of 75 pages. Once the 75 pages are exceeded, with fewer than 50 documents, a new package will need to be purchased. Annexes to tax-relevant documents will be counted as new documents and the respective number of additional pages.
- Article lines are not extracted. Line extraction may be contracted upon specific proposal.
- During the first three months on average 2 working days
- After the third month on average 1 working day
Other Service Features
- The Bizdocs Digital Archive guarantees up to 80% of documents or metadata recognized, provided that the documents meet acceptable quality standards. The best available technology is used to capture information from documents, through an optical reading process of the characters in the document (OCR).
- The brain of our solution consists of the application of artificial intelligence algorithms capable of capturing the determining information from accounting documents. This is a machine learning process, which may take up to 3 months for the system to achieve up to 80% of the documents/metadata recognized for each new client (SME) activated in the solution. It is considered that during the first three months the system guarantees at least 50% success and after the third month at least 80% success. Applicable for a minimum of 1000 documents processed by the system.
This element is crucial to enable the automatic launch and association of the document. For various reasons, such as the poor quality of the document, it may not be possible for our algorithms to perform full recognition of the document, which will prevent partial or total extraction of the relevant metadata. In these cases, the user will have to carry out manual intervention to complete the process. Higher levels of OCR and metadata extraction can be contracted upon specific proposal.
